Test whether another authorised team can continue the work using the exported package before signing a long-term agreement. A downloadable PDF is not enough if the buyer needs editable estimates, source evidence, configuration records and revision history.

A proposed exit test should require:

  1. Exporting a representative set of completed and in-progress files.
  2. Reconciling source documents, photographs and versions.
  3. Opening supported native estimates in the destination environment.
  4. Identifying unresolved issues and current task ownership.
  5. Producing the agreed audit and acceptance history.
  6. Separating buyer-owned configurations from supplier-owned intellectual property.
  7. Demonstrating transition assistance and access removal.
  8. Applying the agreed retention, legal-hold and deletion process.

Negotiate rights explicitly. Do not assume that paying for outputs transfers ownership of the supplier’s underlying models or proprietary rules.

California’s claim-document disclosure notice includes preliminary and final loss-related estimates, reports, findings and calculations within the described statutory scope. That is one reason to have counsel review whether the production arrangement preserves access to relevant records rather than retaining only the final PDF. (insurance.ca.gov)

Price the exit exercise. An untested export promise can conceal operational work that becomes visible only when the relationship ends.
